Sharing and access
Who can open, change and delete a dashboard — the three access levels, granting them per role in Users & Teams, and the two permissions behind dashboards.
A dashboard is visible only to the people it has been shared with. Sharing works the same way as for reports: each dashboard gets an access level per role.
Access levels
| Level | Allows |
|---|---|
| Can view | Open the dashboard, change its period and ad-account pickers, export it to PDF, see its scheduled reports and send yourself a test. |
| Can edit | Everything above, plus rearranging and editing widgets, renaming the dashboard and setting up its scheduled reports. |
| Full access | Everything above, plus deleting the dashboard for everyone. |
Whoever creates a dashboard gets full access to it. The organization's Owner role has full access to every dashboard, and that can't be changed. Anyone else sees a dashboard only once a role they hold has been given access to it.
Granting access to a role
Open Organization → Users & Teams, switch to Roles & Permissions, pick a role and open its Dashboards tab.
Every dashboard of the organization is a row with a level: No access, Can view, Can edit or Full access. Change as many rows as you need, then Save. Members holding the role get the level straight away; a role that propagates passes it on to the teams below, as explained in Propagation.
Permissions
Two permissions in the role editor concern dashboards:
| Permission | What it allows |
|---|---|
| Create Dashboards | Creating new dashboards in the organization. |
| Manage Dashboard Access | Seeing and changing a role's Dashboards tab. |
Changing an existing dashboard needs no permission of its own — only the Can edit level on that dashboard.
Access and scheduled reports
A scheduled report is sent only to members who can open the dashboard at the moment it goes out: taking a role's access away also takes its members off the next send. If the person who set a schedule up loses access, the schedule pauses until someone with Can edit resumes it — see Scheduled reports.
A Telegram post is different: everyone in the chat sees it, including people with no access to the dashboard in Level. The schedule form says so before you turn it on.
