Scheduled reports
Send a dashboard as a PDF on a schedule — by email to members of the organization and to its Telegram chat — with fresh data, a history of every send and one-click unsubscribe.
A schedule turns a dashboard into a PDF every day, on weekdays, every week or every month, and sends it to the members you pick — the PDF attached, the key numbers right in the email — and, if you like, posts it to the organization's Telegram chat.
What you need
- The Business plan. On Pro the Schedule button opens a short explanation and a button to redeem an access code.
- Can edit access to the dashboard to create or change its schedules. With Can view you see the schedules and their history and can send yourself a test.
- For Telegram: a Telegram chat connected to the organization, and the Manage Organization Settings permission to turn posting on.
The schedules of a dashboard
Schedule in the dashboard's header opens Scheduled delivery.
Each schedule shows its cadence, period and recipients, a badge with the last send and the date of the next one. The switch turns it off without deleting it. A dashboard can have up to 5 schedules, an organization up to 50.
Setting up a schedule
New schedule opens the form. Edit on a schedule opens the same form filled in.
Schedule
Name — what recipients see in the email and in their settings. Frequency — Daily, Weekdays, Weekly (pick the Day of the week) or Monthly (the 1st to the 28th, or the Last day). Time in 15-minute steps and a Time zone — the organization's own by default.
Period
Which days each report covers. Today never counts: a report sent on Monday morning about "last week" covers Monday to Sunday of the week before.

A weekdays report with Yesterday, sent on a Monday, covers Friday to Sunday. The line under the period spells out the next delivery — Next delivery: Mon, Sep 28 at 09:00 EDT · covers Sep 21 – 27 · waits up to 6 h for fresh data.
Wait for fresh data — up to 12 hours, 6 by default. If an ad account hasn't synced the covered days yet at send time, the report waits for it; once the wait runs out it goes anyway, with a note about what's missing (see Fresh data). Don't wait sends on the minute.
Recipients
Members of the organization, by email. Tick who gets the report — you are on the list as you. Some members can't be picked, and their row says why:
- No access to this dashboard — share it with them first (Sharing).
- Unsubscribed — they stopped this report themselves. Only they can undo it.
- Opted out of all reports — they stopped every scheduled report of the organization.
Access is checked again at every send, so someone who has lost access to the dashboard since simply doesn't get the next one. Up to 50 recipients per schedule.
Also post to the organization's Telegram chat posts the PDF to the chat connected under Organization → Settings → Notifications. Everyone in the chat sees it, including people with no access to the dashboard in Level — the form warns about it. Turning posting on needs the Manage Organization Settings permission; anyone who can edit the schedule can turn it off.
Document
Message — up to 600 characters, shown in the email, on the PDF and in the Telegram post. Prepared for, Cover page, Orientation and Paper (A4 or Letter) work as in Export to PDF. Widgets leaves some of the dashboard's widgets out of the PDF. The branding line shows the organization's logo and accent; Edit branding opens the export window where they are set.
Test and save
A new schedule is saved with Save or Save & send test; an existing one has Send test to me. A test goes only to you, by email, marked Test — it's the saved version, so save your changes first. You can send up to 5 tests an hour.
What recipients get
The email. The subject is Dashboard · Period — Organization. Inside: the dashboard's name and period, up to four key numbers from its KPI tiles, your message, the PDF as an attachment, an Open dashboard button and a Data as of line. The footer says who added the recipient to the report and has an Unsubscribe from this report link.
The Telegram post. The PDF with a caption: the dashboard, the period, the same key numbers, your message and a link to open the dashboard in Level.
Fresh data
A report shouldn't present half a day of data as the final figure. At send time Level checks that every ad account behind the dashboard has synced the whole covered period.
- An account still catching up — the report waits, checking every half an hour, until the account is up to date or the wait runs out.
- Still not synced when the wait ends, or an account that can't catch up by itself (sync stopped, reconnection required, history still loading) — the report goes out with a Some figures may be incomplete block above the numbers, naming each account and when it last synced. The history marks such a send Sent, stale.
History
History on a schedule lists its last 20 sends, newest first: when, what went out and a status — Sent, Sent, stale, Waiting for fresh data, Partially failed, Failed or Skipped with the reason. Click a send to see the period it covered and every delivery — each recipient and the Telegram chat — with its result. Tests are marked Test.
When a send fails or reaches only some recipients, the person who set the schedule up gets an in-app notification under the Scheduled reports topic.
When a schedule pauses
- The author lost access to the dashboard. The badge says Paused: author lost access and nothing is sent. Anyone with Can edit can click Resume as me — the report then goes out on their behalf.
- The dashboard was deleted. Its schedules stop and are removed after 30 days.
- The organization left the Business plan. Schedules are kept but skipped; they resume once the plan is back.
Unsubscribing
Every email has an Unsubscribe from this report link. It opens a page that works without signing in: confirm, and optionally stop every scheduled report of that organization, including ones added for you later. Resubscribe undoes it. Nobody can add you back — only you can.
The same settings live in your profile, on the Scheduled reports tab — the Manage scheduled reports link in every email opens it: every report you receive, grouped by organization, with a switch each and a Stop all from… link per organization.
